Reporting
Checked against HubSpot’s knowledge base, 3 November 2026.
How do you get HubSpot reports that match your finance numbers?
Agree what each number means, keep deal data clean, and bring your invoices into HubSpot. Set up that way, HubSpot’s revenue reports and your finance figures tell the same story, and finance can sign off the dashboards leadership uses every week.

Want reports your finance team signs off?
We’ll review your setup against your finance figures and show you what to fix.
What it takes
Agree the definitions. Write down what “revenue”, “bookings” and “pipeline” mean in your business, and which system is the source for each. Sales and finance should sign this off together.
Make the right fields required. Require the amount, close date and, if you use them, line items before a deal can be marked closed won.
Use one approach to recurring revenue. Line items with a billing frequency, used the same way on every deal, so a 12-month contract is never entered three different ways.
Keep exchange rates up to date if you sell in more than one currency. HubSpot converts other currencies using the rates set in your account: the latest rate for open deals, and the rate on the close date for closed deals.
Bring invoices into HubSpot. When invoices and payments from your finance system show on the contact, company and deal, you can report on what was billed and paid, not just what was sold.
Build dashboards with clear labels. “Closed won by close date” and “Invoiced revenue” are different reports. Name them so nobody mistakes one for the other.
Check them together each month. Compare HubSpot’s figure with finance’s for the same month. Once the setup is right, this takes minutes.
What we check first
When numbers drift, the cause is almost always one of these, and each one is fixable:
Deal amounts not updated after a discount, a change of scope or a smaller order.
Timing: reports using the close date where finance uses the invoice date.
Recurring revenue entered differently from one deal to the next.
Out-of-date exchange rates.
Deals that shouldn’t count: tests, duplicates, deals in the wrong stage or pipeline.
Refunds and cancellations recorded in finance but not in HubSpot.
Report filters that don’t match finance’s, such as the wrong date property or pipeline.
Bringing invoice data into HubSpot
If you use Xero, we can connect it to HubSpot so each invoice shows on the right contact, company and deal, with its amount, due date and status. The status follows payments in Xero, so sales can see who has paid without asking finance, and you can report on invoiced and paid revenue in HubSpot. Our Xero and HubSpot integration starts from £550.
For other finance systems, the same idea applies: decide which invoice details sales and leadership need to see, and bring those into HubSpot.
How we help
We start by reviewing your deals, pipelines and existing reports against a month of finance figures, so you can see exactly where the numbers differ and why. Then we fix the setup: required fields, line items, pipeline rules, the finance connection and a set of dashboards your finance team has signed off. Custom reporting starts from £250, and a free HubSpot audit is a good first step.
Our take
HubSpot can give you revenue reports your finance team trusts. Getting there is rarely about HubSpot’s reporting tools. It’s about agreeing what each number means, then setting up deals and invoices so HubSpot records it the same way every time.
Once that’s in place, leadership stops asking which number is right, and sales and finance spend their time on the business instead of reconciling spreadsheets.
Frequently asked questions
Can HubSpot revenue reports match our accounts?
Yes. With agreed definitions, clean deal data and invoice data from your finance system in HubSpot, your reports and your accounts tell the same story.
Which system should be the source of truth?
Finance for revenue in your accounts, and HubSpot for sales activity, pipeline and forecasts. Bringing invoices into HubSpot lets you see both in one place.
How does HubSpot handle deals in other currencies?
It converts them into your company currency using the exchange rates set in your account. Open deals use the latest rate, and closed deals use the rate in place on their close date.
Can we see invoices in HubSpot?
Yes, if your finance system is connected. With Xero, each invoice shows on the contact, company and deal with its amount, due date and status.
Why do two HubSpot dashboards show different totals?
Usually because they’re built with different filters or date properties, such as create date in one and close date in another, or different pipelines. Agreeing one set of definitions fixes it.
How much does it cost to sort out HubSpot reporting?
It depends on the state of your data and how many reports you need. Custom reporting with us starts from £250, and a free HubSpot audit will show you where your numbers differ.
